Privacy Policy for PillBin

Introduction

PillBin is a medicine management and safe-disposal application. It helps users track their medicines and expiry dates, find nearby verified medical centers, donate unused medicines to those centers, and access health-related tools and information.

This Privacy Policy explains what information PillBin collects, how it is used, who it is shared with, and the choices available to you. It applies to the PillBin mobile application and its supporting services.

Information We Collect

Information you provide

• Account details — name, email address, and phone number.
• Medicine records — medicine names, dosage, quantity, manufacturer, batch number, purchase and expiry dates, and any notes you add.
• Photographs — optional photos of medicines or medicine packaging that you choose to upload.
• Donation details — the medicines you offer, contact preference, scheduling notes, and any message you write to a medical center.
• Reviews and community content — ratings, review text, blog posts, comments, and any images attached to them.
• Messages to our AI assistant — the questions and any files you send to the in-app assistant.

Information collected automatically

• Device notification token — an identifier used to deliver push notifications to your device.
• Approximate and precise location — only when you actively search for nearby centers (see below).
• Basic technical information — such as connection status, used to support offline behaviour and error handling.

Information from Google Sign-In

If you choose to sign in with Google, we receive your email address, name, and profile picture URL from your Google account, along with a Google account identifier. We do not receive your Google password, and we do not access your Google contacts, files, or any other Google service data.

If the email address on your Google account already has a PillBin account created with an email code, the two are linked into the same account rather than creating a duplicate.

How Your Information Is Used

• Creating and securing your account, and signing you in
• Sending one-time verification codes to your email address
• Storing and displaying your medicine inventory and expiry reminders
• Sending notifications about expiring medicines and donation status changes
• Showing nearby medical centers and enabling donation requests
• Generating donation receipts and enabling their verification
• Answering your questions through the in-app AI assistant
• Operating community features such as reviews, blogs and comments
• Diagnosing problems and improving the app

PillBin does not sell or rent your personal information, and does not use it for advertising or behavioural profiling.

Information Shared With Medical Centers

This is the most significant sharing that PillBin performs, and it happens only when you choose to donate.

• When you submit a donation request, the receiving medical center can see your name, email address, phone number, the list of medicines you are offering, your contact preference, and any note you include.
• The center needs this to identify you at the counter and to contact you about collection.
• Centers only receive information for donation requests submitted to them. They cannot see your wider medicine inventory, your other donations, or your activity elsewhere in the app.
• If you do not submit a donation request, no medical center receives any of your information.

Donation Receipts and Verification

After a donation is completed, you or the receiving center can generate a receipt.

• The receipt is created on your device as an image. It is not uploaded to or stored on our servers.
• The receipt shows the donor name, contact details, receiving center, collection date, and the medicines donated. If you share it, everyone you share it with can see that information.
• The receipt carries a QR code linking to a public verification page. That page is deliberately limited: it shows only the receiving center, collection date, and item and unit counts. It does not display the donor's name, email, phone number, or the medicine list.
• The verification page can be opened by anyone holding the link, without signing in. That is intentional, so a recipient can confirm a receipt is genuine.

Location Information

• Location is used only to find medical centers near you and to sort them by distance.
• It is requested when you use location-based search, and you may decline; the rest of the app continues to work.
• PillBin does not track your location in the background or when the app is closed.
• Your coordinates are used to run the search and are not shared with advertisers or data brokers.

Camera, Photos and Files

• Camera — used to photograph medicines, and, for medical center accounts, to scan a donor's handover QR code at the counter. The QR scanner reads only the code on screen; camera frames are not recorded or uploaded.
• Photos and media — used only to let you pick images you choose to attach. PillBin does not read or index your photo library.
• Images you upload are stored on our media hosting provider and are deleted when you delete the associated record, subject to the retention terms below.

Phone Calls

PillBin can start a phone call to a medical center you are donating to. Selecting this opens your device's dialler with the center's number prefilled. PillBin does not place calls without your action, does not record calls, and does not access your call log or contacts.

Push Notifications

With your permission, PillBin sends notifications about expiring medicines and donation updates. To do this we store a device notification token issued by Firebase Cloud Messaging. You can turn notifications off at any time in your device settings; the token is removed when you sign out.

AI Assistant

PillBin includes an in-app assistant that answers questions about medicines, disposal and general health topics.

• Your messages are sent to a third-party AI model provider to generate a response.
• Your conversation history is stored so you can revisit past answers, and can be cleared from within the app.
• Please avoid entering sensitive personal or medical details you would not want processed by an external provider.
• The assistant does not provide medical advice. Its responses are informational only and are not a substitute for a qualified doctor or pharmacist.

Publicly Visible Content

Some content you create is visible to other users by design:

• Reviews and ratings you leave for a medical center are shown to other users and to that center.
• Blog posts and comments you publish are visible within the community section.

Please do not include personal or medical information in this content that you would not want to be public. You can delete your own reviews and posts from within the app.

Service Providers

PillBin relies on the following providers to operate. They process data only on our instructions and only as needed to deliver the service.

Some of these providers may process data on servers outside your country. We take reasonable steps to ensure appropriate safeguards are in place.

Data Retention and Deletion

• Your account and its data are kept for as long as your account is active.
• Medicines you delete are held briefly in a recoverable bin before permanent removal, so you can undo a mistake.
• Notifications are removed automatically after 60 days.
• Completed donation records are retained so that receipts remain verifiable and centers keep an accurate record of what they received.

Data Security

We apply appropriate technical and organisational measures to protect your information, including encrypted connections, hashed and token-based authentication, restricted access to production systems, and short-lived codes for sign-in and donation handover.

No method of electronic transmission or storage is completely secure, and absolute security cannot be guaranteed.

Children's Privacy

PillBin is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us and we will delete it.

Your Choices

• Decline or revoke location, camera, photo and notification permissions at any time in your device settings.
• Choose email verification instead of Google Sign-In, or the reverse.
• Edit or delete your medicines, reviews and posts from within the app.
• Clear your assistant conversation history from within the app.
• Request access to, correction of, or deletion of your account data by contacting us.

Third-Party Links

PillBin may link to external websites, including online pharmacies where an expired medicine can be repurchased, and educational resources. We are not responsible for the content or privacy practices of those sites, and we encourage you to review their privacy policies.

Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in app features, legal requirements or operational practices. Material changes will be reflected in the date below, and continued use of the app constitutes acceptance of the updated policy.
